Position Summary Information

Nature of Work

The Administrative Assistant performs a wide range of complex secretarial, clerical, and receptionist duties and will also serve as the personal assistant to the Director of Admission. The position will require confidentiality, and it will always require projecting a professional image. The Administrative Assistant will serve as a greeter in the Office of Admission, prior to connecting all guests to an Associate Director or an Enrollment Counselor for individual meetings. The Administrative Assistant must be highly efficient, able to multi-task, and able to meet deadlines despite interruptions. Responsibilities include scheduling appointments, managing the office email account, coordinating meetings, managing phones, and assisting with the training of student staff.

Essential Duties

Screen phone calls for the Director of Admissions and assist with calls that come to the main admissions line, connecting guests with the appropriate person.

Greet guests who arrive in the Admissions Office and connect them with an Enrollment Counselor, Associate Director, or the Director of Admission.

Schedule meetings, training sessions, and other events by using the Event Management System.

Monitor office supplies and publications to ensure an adequate quantity of materials are available for recruitment staff.

Distribute/Mail publications and promotional items when requested online or in person.

Help develop, evaluate, and implement office procedures. Monitor office procedures to eliminate duplication of effort.

Assist with coordinating the procurement of promotional items for department (includes obtaining quotes)

Participate in office meetings and training events.

Assist with hiring, training, and supervising student workers for the Admissions Office.

Compose and edit correspondence to various campus constituents when needed.

Schedule office coverage with the other two Admissions Administrative Assistants or student workers during any time away from the office. (lunch break, meetings, vacation, etc.)

Ability to effectively use the Banner Student Information System (SIS) and participate in ongoing training as updates within the system occur.

Collaborate with other Admissions team members, working together to coordinate daily office coverage, tour presentations, phone coverage and assisting welcome center guests.

Assist with Admissions file audits. This includes: residency, lawful presence, immunization and ADC-Academic Data Collection prep work)

Assist with Admissions Pre-Conduct Review Process

All other duties as assigned.

Minimum Qualifications and Training

High School Diploma or Equivalent

Considerable experience with data entry

At least 2 years of related experience

Ability to establish and maintain effective working relationships with students, parents, administrators, faculty members and staff.
